Reminder System

If you have an abnormal test result or require follow up for a medical condition, we will contact you either by phone or via “hot docs” (SMS booking and reminder system). We may also contact you about preventative health services appropriate for your care. Please indicate your preference for contact.

To enable us to contact you without delay and to assist us in providing comprehensive care, please ensure reception staff has your name, address, email, and phone numbers as well as your current emergency contact details.

Your medical information is a confidential document. It is the policy of this practice to always maintain security of personal health information and to ensure that this information is only available to authorized members of staff. Appointments

Hillscene Family Medical Centre runs an appointment system, and the standard appointment is 10 minutes.  In order to accommodate your appointment time efficiently, please advise whether you need a standard (10min appt) or a longer appointment to discuss multiple issues.

Hillscene Family Medical Center will except walk in patients in an urgent situation. If your condition is not urgent our staff will ask you to make an appointment at a mutually agreeable time.

Fees and Billing Arrangements

Hillscene Family Medical Centre is a privately owned General Practice, so we do not routinely bulk bill.  We currently Bulk Bill children under 16 years, DVA gold card holders and Aged Pension Card Holders.  We offer a reduced rate for those who have a valid pension or health care card.  Please see signage in the waiting room, website or speak with our reception staff before making your appointment.

There may be out of pocket costs associated with further investigations, specialist visits and medical treatments not performed in this practice.  For information on these costs ask the service provider before having your blood test, ultrasound or Xray or before making your specialist appointment.

Home Visits

Hillscene Family Medical Centre can arrange home visits by our doctors for regular patients who live in close proximity and who are unable to attend the clinic. Please contact reception and discuss your needs.  Home visits are at the discretion of your General Practitioner, and each request will be assessed separately.

Telephone Access

Doctors in the practice may be contacted during normal working hours, If the doctor is with a patient when you call, a message will be taken by reception staff and your doctor will return your call when appropriate. If you have seen your doctor in the practice for a face 2 face appointment in the previous 12 months, you may be able to arrange a telephone consultation.

Email Policy

  1. This policy applies to all employees of the clinic, doctors, and patients as well as the public at large.
  2. The goal is to prevent the clinic from data breaches and safeguard its overall reputation.
  3. An email address is assigned to the clinic where all emails are directed to admin@hillscenegp.com.au
  4. The clinic will not normally initiate emails. It only replies to emails received.
  5. Emails will not be used to accept appointments or cancellations. Doctors will not normally consult via email.
  6. All emails received by the clinic will be acknowledged with an automatic response and the time it could take to respond.
  7. Response to emails will only occur if the patients provide a minimum of 3 identifiers (i.e. full name, date of birth, address and mobile number).
  8. Patients’ records will generally not be sent via email. In exceptional cases documents will be sent via email and stating that they recognize and accept the risks involved.
  9. If the matter is urgent, patients must contact the clinic on 9500 1899 during business hours and not via email.
  10. Employees are required to use the clinic email exclusively for work related purposes.

You can email the practice on admin@hillscenegp.com.au.  Our staff check emails daily and we will do our best to respond to your enquiry as soon as possible.  We are unable to accept appointment bookings or cancellations by email and ask that you utilize HotDoc or phone reception on 9500 1899 for these services.

Repeat Prescriptions/reprinting Of Documents

  1. Hillscene Family Medical Centre requires a doctor’s appointment for all scripts, specialist letters and pathology/imaging forms.  Where suitable doctors may agree to a telephone consultation to arrange ongoing scripts or referrals.

Onsite Pathology

4cyte pathology has a collection Centre on site (PH: 0435 238 938). This collection Centre is staffed from 8.30am-12noon, Monday to Friday. Some pathology tests may incur a fee payable to 4cyte pathology. Please discuss this with your collector at the time of your consultation.

Patients’ Rights And Privacy

Hillscene Family Medical Centre protects your privacy, and we treat all patient information including health and financial details as strictly private and confidential. We have developed and documented a privacy policy, in accordance with current privacy laws.  All staff of this practice abides by this privacy policy and understands that the policy breach could be grounds for immediate dismissal.  Copies are available at the practice.  If you have a problem, we would like to hear about it.  Please feel free to talk to your doctor, the practice manager or reception staff. You may prefer to write to us or use our suggestion box.  Be assured we will treat any feedback seriously and apply it in our continuing quality improvement program.

The Victorian Health Services Commissioner can receive and resolve complaints about health service providers.
